Guild Meeting Sunday 9th March 2003
Leicester Hall, Ellerslie.

GMs Meeting at 12:30.

Issues: 
- Spy/Thief
Don't think there are any votes to be had, Spy & Thief need further changes
and play testing before progressing any further.  People are most welcome to
discuss them but that won't be part of the offical GMs moot.

- Need more GMs this session.

- A volunteer to chair the meeting will be selected.


Guild Meeting at 1pm

Meeting close prior to 2:30pm.


Booking report
The cost of hall hire has gone up to $24 per hour and we are being charged a
$100 bond for the bookings now.
On the upside our application for a 50% discount on the hirage due to being
a non-profit club has been accepted so the meetings will cost $24 instead of
$40 previously. Yay!
The collection surplus is up to $80 so that almost covers the bond.
We'll be asking for $1 per person per meeting towards the hall hirage, given
normal turnout this should soon collect enough surplus to cover the bond completely
and maybe cover most of the meetings in advance.

Does anyone know anything about creating/registering non-profit clubs?
If it's not too much hassle it would make getting the discount on hall hire
easier.

From memory, this would involve becoming an Incorporated Society. I imagine
that a Citizens Advice Bureau will have a nice pamphlet. :-)

Again from memory, another benefit would be that any debts incurred are only
recoverable from the officers of the society, rather than any of the
members.

While I'm here, how about a cyperspace vote of thanks to Stephen to
organising the hall, and fronting up with the dough?

Yup, organisation, commitment, engagement with bureaucracy, putting forward
ones own cash for others.

Who here can admit to all those fine qualities?

Thanks to Stephen for regularly organising the hall,
And to Keith & Jacqui for putting in many hours each quarter producing the
SGT, the scurrilous rag that showcases the Guild to the world.

May they all continue to do stuff so we don't have to.

As I recall its not very difficult to become incorpirated, but requires
registration which probably means a fee.
And then there are things like AGMs, commitees, and some book keeping, that are
required there after.

Which would mean we would need a commitee.
Would this make any more work for some people? or would it make things easier to
have an offical person whose job it was this year?

My collegue reminded me that the accounts (such that they would be), would
need auditing.
For the sake of the amount of dosh we are talking, its not worth it on these
grounds alone.

I'm fairly sure you can have a constitution that sets up a dictator for life
if you so desire (and I was just telling a newsgroup about the renaming of
the AMERICA offices to match 'Junta' names a couple of days ago :-)

Benefits would appear to be limited to making one transaction per year
somewhat easier. I assume having a 'history' will make it simpler next year?

We're talking about a saving of $96 per year, if it's going to cost any more
than a one-off registration then it's probably not worth it.

I was hoping there would be some sort of level below an audited incorporated
society that we could slot in to.  But if not, too bad.

Worst case we may not get the discount some years or we may get less of a discount
depending on who is judging our eligibility and how friendly they are.

Maybe I'll keep our highly complex accounts for the year in excel so I can offer
that next year.
